Bring together count, external dimensions, weight, contents and destination area in one overview. If a package is split or combined, update its ID and the total count. A clearly named version helps when store, agency and receiving team look after different parts of the project. With a clean list we can plan load space, schedule and quotation reliably.

Which columns an event packing list needs

A few clear columns work best: ID, package type (case, crate, bundle, pallet), contents in keywords, external dimensions, weight, destination area at the venue and return destination. A remarks column takes notes such as “stackable according to manufacturer” or “battery fitted”. Transport rarely needs more.

One list for delivery, return and the next event

If the same equipment is used repeatedly, it pays to keep the packing list as a master list and only mark changes for each event. Returns and onward trips can then be derived from the same list. That saves time and reduces mistakes during dismantling, when things need to move quickly.
