Separate confirmed packages from expected additions. For open items, a clear description and the date by which you expect clarity are more helpful than seemingly exact dimensions. Agree internally who will update the figures once the final material selection is made. This lets us agree a framework early and bring the quotation up to the final status as soon as the data is available.
Ranges instead of a blanket margin
Rather than adding a flat “plus 30 per cent”, describe a traceable range: for example “twelve to sixteen wall bundles, depending on the final stand layout”. That makes it possible to judge which vehicle and schedule are suitable without planning for a quantity that may never travel.
When the data should be final
The closer the date, the more important binding figures become. State in your request the day your material list will be fixed. We can then plan in two steps: first framework and availability, then the specific arrangement with the confirmed packages.
