Mark unconfirmed data and when it will be completed. We work with you to separate firm requirements from wishes and clarify what is included in the quotation and what is shown separately. Record the data version and open questions with every change; the quotation can then be matched to the right packing list and traced later.
What drives the effort
The effort of an event transport depends mainly on five factors: route and number of stops; quantity, dimensions and weight of the packages; time commitments and windows; conditions at collection and destination – such as loading bay, waiting times or internal routes; and any requested return or onward trips. The more clearly these points are described, the more precise the quotation can be.
Must, nice-to-have and open
Assign each requirement to one of three categories: must (has to be met, e.g. the organiser’s delivery window), nice-to-have (would be good, e.g. delivery the day before) and open (not yet decided). This shows where there is flexibility and helps you check the quotation against your requirements later.
