Summarise the old and new status in a short message and refer to the route affected. Build-up changes often affect collection readiness, the return or the onward trip to the next event; check these links with your team. Mark outdated attachments as replaced. A clearly labelled current version prevents store, agency and crew from working to different dates.
The change message in four lines
A good change notice needs only a few details: which route is affected, what applied before, what applies now and who confirmed the new information. More text is rarely helpful. If needed, attach the updated packing list or new schedule and name the file with its date.
Knock-on effects on returns and rotation
If material travels on afterwards, a postponement at the first event can put the next one at risk. Tell us which follow-on dates depend on the change. We then check whether the onward transport needs adjusting or whether the dates can still be reconciled.
