Plan your transport

Give confirmed time windows rather than assumed averages. Explain whether material can only be released after a programme item or whether reception depends on approval. Ask how these conditions are reflected in the quotation. The written basis should show which procedure was assumed and which points are still open.

Typical causes of waiting time

At events, waiting time usually arises in the same places: holding area outside the exhibition centre, occupied loading bays, no contact available on arrival, dismantling that starts later than planned. Many of these can be reduced in advance with good information – such as a booked slot, a reachable receiving contact and a realistic dismantling start.

Making waiting time visible in the quotation

A good quotation states how much standing time is planned and how additional time is treated. When comparing, check whether this rule is included, separate or open. For dismantling with an uncertain end, this line is often more decisive than the base price.

What matters

  • Describe known steps before handover
  • Name approval dependencies specifically
  • Check the waiting time rule in the quotation
