Describe special routes only on the basis of confirmed information. Unpacking, internal distribution and set-up are often assigned to different parties. At trade shows the handover often takes place at the hall or the stand; at hotels and congress centres at the supplier entrance; at open-air events at an agreed point on site. Heavy cases and pallets need suitable handling equipment. Clarify whether a forklift or ramp is available at the venue, whether it must be booked through the official show contractor, or whether the vehicle should bring its own solution.
