Plan your transport
Label durable components with a stable internal reference and add the relevant package link. If graphics are replaced or accessories added, the next shipment gets updated data. Between assignments, checks, repairs and fresh preparation may be needed; your team sets their location and date. It is then clear where the material actually starts from for the next show.
The master list as the basis
A master list contains all durable parts with ID, dimensions, weight and packaging. For each assignment, an event list is derived from it: which parts travel this time, what is added, what stays in storage. Working this way, requests for recurring transport can be made quickly and with reliable data.
Season planning instead of one-off requests
If your event calendar for the season is fixed, it can make sense to request the transports together: outbound, onward and return trips with their dates. Routes can then be combined and bottlenecks between closely spaced assignments spotted early. Each individual transport is still confirmed with current data.
