Mark each item with where it is going and derive the return packing list from that. If a container holds contents of different groups, the project team decides on the new make-up. The collection contact must know which units are to be released. For the request, what counts is the external dimensions, weight and readiness of the return group, regardless of how much was originally delivered.

Deciding where each item goes

A simple “destination” column in the packing list with a few values works well: back to store, on to the next event, stays on site, goes to recipient X. Filling in this column before dismantling makes packing faster and gives the driver exactly the right units.

Separating what stays on site

Units staying at the venue should be kept physically and visibly apart from the return group during dismantling. That avoids mix-ups at collection, especially when several teams or service providers are clearing out at the same time.
