Do not carry over experience from an earlier event to the new date without checking; gates, routing and rules change. Note the current source for gate name, meeting point and any vehicle access permits. If details are still missing, name the person who will receive them from the venue. That way we work with the actual state of information and plan vehicle and timing accordingly.
City-centre venues and hotels
City-centre venues, hotels or historic buildings often have height restrictions, limited delivery hours or only a short stopping area. These conditions affect the choice of vehicle and how unloading works. Ask the venue about the loading bay, maximum vehicle size and permitted delivery times, and pass the answers on to us.
Exhibition centres with logistics rules
Many exhibition centres control access and time on site through vehicle permits, time slots or holding areas. Organisers also often work with official contractors who offer on-site services such as forklift unloading or empty-case storage. Check in the exhibitor manual what applies to your hall and give us the rules so that we can arrange the handover accordingly.
What matters
- Name the gate or loading bay as well as the address
- Ask the venue about height limits and delivery times
- Assign missing access details to a contact person
