Plan your transport

The agency knows the on-site schedule, while the client’s store or product team knows the physical condition of the shipment. Combine both perspectives in one document with a clear version label. For questions, you need a coordinating contact and the relevant specialist contacts. It then stays clear who passes on a change and who can actually assess it for the material.

What belongs in the agency briefing

A usable briefing contains: the event with location and build-up window, material groups with packing list, collection points with contact and readiness, handover points at the venue, the requested return or onward trip, and open points with owners. This structure can be reused for every project and shared with clients.

Agency as customer or as coordinator

Clarify early whether the agency books the transport itself or only coordinates, with the client as the customer. That determines who receives the quotation and who approves changes. We work with both models – what matters is that everyone involved knows which one applies.

What matters

  • Name the coordinating project contact
  • Assign approvals by responsibility
  • Clarify who books the transport
